The short version
We collect what an application needs and nothing extra. We use it to check what you qualify for, to prepare and send your application, and to support you while it is open. We do not sell personal information, and we do not use it to advertise to you.
What we collect
- Account details: your name, email address and the password you set, which is stored only as a secure hash.
- Eligibility answers: what you have studied, your grades, your English or French test results, your budget and where you want to study.
- Application records: the institution and programme you chose, the status of the application and the messages exchanged about it.
- Documents: passports, transcripts, certificates, test reports and anything else an institution asks for.
- Payment records: the amount, the currency, the status and the reference from our payment provider. We never see or store your full card number.
- Support messages: the tickets you open and our replies.
- Technical data: the basic request information a server needs to work, kept in a form that is redacted of personal detail wherever it is not needed.
Why we use it
- To show you the programmes and institutions your qualifications reach.
- To prepare, submit and track an application on your behalf.
- To take and confirm the application fee.
- To answer your questions and resolve problems.
- To keep accounts secure, detect abuse and investigate incidents.
- To meet obligations that apply to us, and to keep records we are required to keep.
Who it is shared with
The institution you apply to receives what that application needs, and nothing more. Staff there see only their own applicants.
Our payment provider processes the fee and holds the card details, so we do not. Our infrastructure providers host the application, the database and the document storage under contract.
Inside EdVoyager, access is limited by role and recorded. We do not sell personal information, and we do not pass it to advertisers or data brokers.
How it is protected
- Traffic is encrypted in transit, and stored data is encrypted at rest.
- Documents sit in private storage. They are never public, and a link to one is issued only after an authorisation check and expires within minutes.
- Access rules are enforced by the database itself, so a record is unreachable by anyone the rules do not name.
- Staff accounts require a second factor, and sensitive staff actions are written to an audit trail.
- The administration surface runs separately from the student site, behind its own access controls.
How long we keep it
Application and payment records are kept while your application is live and afterwards for as long as we need them to answer questions about it and to meet our record keeping obligations.
Documents are kept while they are needed for an application. You can ask us to remove a document you uploaded, and we will unless it is part of an application already submitted.
When a retention period ends, records are deleted or are stripped of anything that identifies you.
Your choices
Write to us and we will act on any of these. We may ask you to confirm who you are first, so that nobody else can make the request in your name.
- See what we hold about you and ask for a copy.
- Correct anything that is wrong, most of which you can edit yourself in the portal.
- Ask for your account and its data to be deleted, subject to records we have to keep.
- Withdraw consent where we relied on it, which may mean an application cannot continue.
- Object to how we use something, and ask us to explain our reasoning.
Where your data is handled
Applying abroad means your application is sent to the country you are applying to, so your information crosses borders by design. We choose providers that protect data to the standards set out in our data protection policy, and we pass on only what the institution needs.
Changes to this policy
The current version is always on this page with the date it was last updated. If a change affects how we use information you have already given us, we tell account holders inside the portal.
Questions about this policy can go to contact@edvoyager.com, or through a support ticket.
